Organization billing
An organization has its own plan, its own word balance, and its own billing page. Work on organization projects is billed to the organization, never to the member who runs it, and internal assignments involve no per-offer billing between members. Your personal plan is untouched by anything you do in an organization’s context — and the organization is untouched by your personal plan.
Organization billing lives on the Plan & Billing tab of the Organization page. Every member can open it; only the owner can change anything.
Organization plans
Section titled “Organization plans”Organizations choose between two plans, Business and Company. Both carry the Pro feature set plus the team workload board; Company adds the client portal, more words, more minutes, and more seats (see the plan table). There is no free organization plan, and the tab offers no trial: an organization subscribes directly, and must be subscribed to start new work.
The plan cards on the tab show the price per month, words and their page equivalent, served website words, seats, subtitling minutes, and — on Company — the client portal. The owner subscribes with Subscribe to …, which goes through the same consent and checkout steps as a personal plan (see Subscribing). Once active, the card reads Current plan — renews automatically on the period end date.
A plan’s seat count is how many active members the organization can hold — five on Business, twenty on Company. Seats are included in the price and never billed per user. A pending invitation does not take a seat; the seat is used when the invitation is accepted and freed when a member is removed. See Creating an organization.
If you switch to a plan with fewer seats than you currently use, existing members keep their seats — nobody is removed — but no new seats can be added until you are under the new limit. The confirmation dialog warns you about this before the switch.
Payment state
Section titled “Payment state”The current plan card shows one of four states, with a line explaining what it means and, where relevant, the period end date:
| State | What it means | What still works |
|---|---|---|
| active | Subscription paid up; renews automatically | Everything |
| unpaid | The organization has never subscribed | Members can sign in and read; new projects cannot be started |
| grace | The paid period ended and payment is required. Grace lasts 14 days | Existing projects can be finished; new ones cannot be started |
| inactive | The grace period ended without payment | Data is intact; subscribing reactivates the organization immediately |
In the grace and inactive states the Organization page also shows a banner linking to the tab, and the owner is notified. Members who are not the owner see the same state with a note that the owner can renew.
Switching, cancelling, and resuming
Section titled “Switching, cancelling, and resuming”The owner switches plans from the plan cards with Switch to …. The rules match personal plans: an upgrade applies immediately and charges the prorated difference now; a downgrade is scheduled for the end of the period, with the current plan kept until then and a Cancel scheduled switch link to undo it.
Cancel subscription on the current plan card asks for confirmation and explains that the organization keeps its plan until the period end, then becomes inactive after the grace period. Until that date the card reads Cancelled — runs until … and Resume subscription undoes the cancellation. You can re-subscribe at any time.
Payment method, invoices, and promo codes
Section titled “Payment method, invoices, and promo codes”Once an organization has subscribed, Manage payment method & invoices on the current plan card opens the organization’s own billing portal for its card, invoices, and receipts. Have a promo code? applies a code to the organization’s subscription from the next invoice, and active discounts are listed above it.
Usage and word packs
Section titled “Usage and word packs”Usage this period on the tab is the organization’s word ledger, visible to every member because it decides whether members can start new projects: the included-words bar with its 80% and 100% banners, the word pack balance, served website words, and the draws by project. Organizations have no signup pack.
When the organization has used all its included words, new projects are blocked until the next period, a word pack, or a renewal, and existing projects stay editable. Only the owner can Buy word pack for the organization; packs bought here are one-time, never expire, and land in the organization’s shared balance. A member’s personal word packs are never used for organization work.
Each organization project’s cost review draws from the organization’s balance, and the Projects tab of the Organization page shows every project’s estimate against what the plan includes — see Organizations.
Your personal billing while in an organization
Section titled “Your personal billing while in an organization”Account → Billing always shows your personal subscription and usage. In an organization’s context it says so at the top, with an Organization billing button to the organization’s tab, and a word pack bought there is still personal.
